Your session details

You’ll receive your presentation type, session title, date, time and room by email. This email also contains your session number (oral presenters) or poster number (poster presenters), which you’ll need when naming your files.

Check these details carefully and tell us straight away if anything looks wrong.

In-person oral presenters

Length

Your slot is 15 minutes: 12 minutes to present, then 3 minutes for questions. Chairs will hold strictly to these times to keep the programme on schedule, so please rehearse to fit.

Slide format
  • PowerPoint (.pptx) or PDF, 16:9 widescreen
  • Embed all fonts, images, video and audio within the file
  • Use only images and data that you own or are licensed to use
  • Include your disclosure or conflict-of-interest slide, if applicable
Submitting your slides

Upload your final slides using this form.

We’ll load your slides onto the presentation computers before your session, so you won’t need a personal laptop at the podium. We still recommend bringing a backup copy on a USB stick.

Deadline: Friday, 4 September 2026, 17:00 AEST

Please arrive at your room at least 15 minutes before your session starts, so you can check your slides and introduce yourself to the chair.

Virtual oral presenters

Submit a pre-recorded video of your presentation in advance. This protects your session against connection problems on the day.

Video length

Record a 12-minute presentation. After your video plays, you’re invited to join the session live for a 3-minute Q&A if your schedule and time zone allow. Live Q&A is optional but strongly encouraged.

Accepted formats
  • MP4 (H.264) preferred; we can also accept MOV and [formats]
  • 1080p (1920 × 1080), 16:9
  • Maximum file size: 3 GB
Recording with a cameo (your webcam alongside your slides)

The simplest method is PowerPoint’s Cameo and Record function:

  1. Open your slideshow and select the Record tab (or Slide Show → Record).
  2. Select Cameo to insert your camera feed, then position and resize it on the slide.
  3. Select Record, present through your slides, then Stop.
  4. Select File → Export → Create a Video (on Mac, File → Export → MP4) and save the file.

Keynote’s recording tools and Zoom’s “record with video” option work equally well. Any method that produces an MP4 showing both you and your slides is fine.

Uploading your video

Upload your final video here: Virtual oral presenter upload

Deadline: Friday, 21 August 2026, 17:00 AEST

Poster presenters

Poster guidelines

Your poster must not exceed A0 portrait: 1189 mm high × 841 mm wide. [Landscape posters are / are not accepted.] Posters are mounted on display panels, and we provide the mounting materials.

Submitting your poster PDF

Upload your poster as a PDF using this form, naming the file Surname_PosterNumber. Virtual posters are displayed in the online gallery.

Deadline: Friday, 4 September 2026, 17:00 AEST

Poster printing in Hobart

If you’d like your poster printed locally, email it to design@hobart.snap.com.au with the subject line “Seabirds 2026 – Leishman”. This code word entitles you to a discounted rate of AUD 66 per poster. A poster tube is AUD 23.10 extra.

This arrangement is directly between you and the supplier. Allow enough time for printing and collection: posters are due to the printer by Tuesday, 1 September 2026.

Recording and consent

Sessions will be recorded, live-streamed, and made available on demand to registered delegates. By presenting, you consent to this.

If you have unpublished data and would prefer your session not to be posted on demand, contact us at wscscience@worldseabirdunion.org.

Presenting to an international audience

Delegates join us from all over the world, and many will be listening in a second language. Please:

  • Speak at a measured pace
  • Avoid idioms and jargon
  • Keep slides legible from the back of the room — large fonts, high contrast, minimal text

Registration, travel and visas

Presenters must be registered to appear in the programme, so please complete your registration if you haven’t already.

If you need a letter of invitation, or guidance on visas and Electronic Travel Authorities (ETAs), contact conference@leishman-associates.com.au as soon as possible. Processing can take several weeks.
